Under general supervision, the Sales Support Specialist is responsible for back-office support for the sales department. Responsibilities include creating and administering moderate to complex contracts that establish or renew business relationships with clients; updating contracts; working with the accounting and legal departments; updating information within the internal CRM system; providing customer support to internal departments and external clients.

ESSENTIAL RESPONSIBILITIES

Sales Support and Client Outreach

  • Assists in interpreting contracts, including contracts, license agreements, addenda, statements of work, and partnering agreements
  • Fields requests via the Sales Support queue for requests entered by clients and other departments requiring drafting, support, and/or other sales-related needs
  • Assists in setting up and correcting Sales Opportunity data within the CRM system
  • Maintains communication through the shared Sales Admin Outlook inbox for clients and intra- and interdepartmental teams
  • Provides back-up for answering sales 800 number calls

Contract Development and Administration

  • Drafts and reviews contracts and addenda for Yardi products using prescribed templates and guidelines
  • Reviews and analyzes contract content for appropriate terms, including legal and payment terms, to ensure compliance with appropriate laws, regulations, and corporate policies. Works with sales and legal to establish and/or monitor acceptable deviations in standard terms and conditions. Ensures proper approval and tracking of non-standard terms and conditions
  • Manages the approval/signing/processing of legal documents
  • Handles high-pressure contract deadlines with professionalism and collaboration
  • Completes license file audits to ensure accuracy of licenses/services provided to clients

EDUCATION/QUALIFICATIONS/EXPERIENCE DISTINCTIONS

  • Bachelor’s Degree or equivalent experience
  • One plus (1+) years of contract or legal/sales support experience

REQUIRED SKILLS/ABILITIES

  • Excellent written and verbal communication skills, including via phone
  • Solid grammar, spelling, and composition skills
  • High attention to detail and strong organizational skills
  • Ability to provide great customer service
  • Ability to read and interpret legal documents
  • Must be a motivated and an enthusiastic team player
  • Basic math skills (e.g., calculate fees, prorate credits)
  • Ability to meet critical deadlines and prioritize multiple tasks with frequent interruptions in a fast-paced environment
  • Ability to think critically to discern and understand legal and technological terminology

DESIRED SKILLS/ABILITIES

  • Proficiency in Microsoft Office Suite
  • Experience in legal/sales contracting and office administration highly desirable
