We are looking for a motivated, enthusiastic team player with excellent customer service to maintain constructive relationships with key external vendors and internal stakeholders who have procurement needs.

What you will do

  • Consistently perform daily administrative tasks of converting purchase requisitions to purchase orders in compliance with Yardi policies and executing purchase orders upon approval in a timely and efficient manner
  • Responsible for the lifecycle of the purchase order and communication of order status to end users to maintain excellent internal customer service
  • Review purchasing reports weekly to investigate any outstanding purchase orders to proactively resolve potential issues in delivery or receipt of goods and services
  • Reconcile credit card purchases and investigates miscellaneous invoices
  • Reconcile, research, and analyze spend to ensure savings for negotiation opportunities
  • Research and qualify potential vendors in accordance with policies and issue RFQ’s to diverse suppliers to document savings
  • Act as point of contact for the supplier and internal stakeholder during contract negotiation of new and existing service or software agreements that extend cross-functionally across teams and business units
  • Ensure that contract negotiations meet the requirements of our compliance and security initiatives and that contracts go through respective workflows and approvals prior to execution
  • Respond to audits externally and internally in a timely and professional manner
  • Participate virtually in office inventory or operation meetings of diverse locations to resolve issues, review inventory requirements, provide insight on future deliveries, or other relevant items
  • Engage in vendor and supplier reviews and track vendor and supplier performance, and resolve or escalate issues
  • Provide solutions for streamlining the procurement process to provide continued excellence in supporting our employees
  • Ability to analyze and reconcile data to support negotiations and locate cost savings
  • Excellence in customer service and strong verbal and written communication skills
  • Ability to execute a high volume of data entry with minimal to no errors
  • Ability to learn proprietary software and work on multiple tasks in a deadline driven environment
  • Ability to problem solve independently and work in a hybrid work environment
  • Ability to work outside of standard business hours including on occasion engaging in vendor luncheons or dinners

What you need to have

  • Associates degree
  • 1 year+ in an administrative or customer service role
  • High degree of confidentiality and integrity in verbal and written communications
  • Proficiency with MS Office Suite, with an advanced Excel skills

What would be helpful to have

  • Bachelor’s degree in related field
  • 2 years of experience in the finance, customer service, or administrative fields
