Under general supervision, the Administrative Specialist is responsible for a wide variety of clerical activities and related tasks for the Client Services Department. The Administrative Specialist is responsible for providing clerical support, which may include but not limited to, editing and preparing correspondence, department calendaring and meeting scheduling, coordinating conference room meeting needs, maintaining necessary databases, troubleshooting customer issues, and data entry. The Administrative Specialist may be directed to assist with special projects and events.

Responsibilities

  • Acts as backup answering multi-line telephone system, logging and directing caller to appropriate associate
  • Review client contracts for assignment to correct support teams and process contract addendums
  • Utilize database system to track, gather information, and/or troubleshoot customer issues
  • Assist with a variety of administrative tasks including, data entry and preparing correspondence, as needed
  • Filter and respond to inquiries to department mailbox
  • Keep Client Services Departments informed of staffing by maintaining department calendars

Requirements

  • High School diploma, or GED
  • Must be available Monday – Friday, with flexibility when needed
  • Prior experience working in an administrative capacity
  • Computer literacy; proficiency in Microsoft Suite and data entry
  • Well-developed verbal, listening, and written communications skills
  • Strong organizational skills and ability to prioritize multiple tasks
  • Good attention to detail and desire for quality work
  • Ability to form and nurture interdepartmental relationships
  • Ability to work independently, or as a team player
  • Ability to maintain professionalism at all times
  • Ability to contend with a wide variety of people on various issues
  • Ability to work in a busy office with constant interruptions
  • Regular attendance is an essential function of this job
  • Experience with multi-line phone systems is a plus
