Under general supervision, the Operations Compliance Specialist performs vendor screening processes for property owner/manager clients to ensure vendors meet required compliance criteria. The Operations Compliance Specialist will use a variety of resources to conduct criminal background records and verification of insurance. This position will interact with clients and vendors on a regular basis to report on compliance status, respond to inquiries and address concerns or issues. This role is required to work within the set Yardi guidelines for Vendor Compliance, as well as, the Insurance Industry Regulations (IIR), and any applicable local, state and federal regulations.

ESSENTIAL RESPONSIBILITIES

  • Effectively responds via phone and fax to a high volume of vendor inquiries regarding compliance, and provides appropriate follow up and resolution
  • Accurately and efficiently performs and processes vendor screenings (e.g., criminal, insurance, and other) utilizing in-house applications and internet web sites

  • Examines Certificates of Insurance and Endorsements for completeness, accuracy, and conformance to client requirements and uploads certificates into the system
  • Follows-up with insurance agents to verify policy coverage and cancellations, and interprets/verifies policy coverages, changes or renewals
  • Partners with the Manager, Vendor Compliance in creating documentation and process flow for internal procedures for the newly formed Vendor Compliance department

  • Facilitates training of new hires and junior staff members to ensure proper software utilization and client satisfaction

  • Provides detailed and accurate reviews, ensures accurate tracking of communications and follow up of all inquiries and/or disputes via Yardi’s compliance tracking system

  • Follows-up to ensure appropriate action is taken to resolve outstanding inquiries or problems

  • Understands the protocol and processes for all aspects of a resolution process
  • Understands and complies with company compliance and practices, safeguards, policies and legal compliance regulations
  • Achieves productivity standards while maintaining the highest level of service and client satisfaction
  • Assists with additional special projects as needed

EDUCATION/QUALIFICATIONS/EXPERIENCE DISTINCTIONS

  • Minimum Associates degree or equivalent experience

  • Three plus (3+) years’ experience in commercial insurance

  • Demonstrates an ability to mentor, coach and train other team members

  • Property & Casualty license preferred

  • Multifamily industry experience strongly preferred

  • Demonstrated excellent telephone and written communication skills
