The full-time Receptionist will be responsible for greeting incoming guests and employees, answering incoming calls, directing calls to appropriate associates, flow of correspondence, as well as additional clerical duties and general office support.

Responsibilities

  • Answer telephones and direct callers to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable
  • Greet guests in a professional, friendly, hospitable manner
  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information
  • Assist with various mailings including stuffing and posting letters/invoices and delivering to the building mailbox
  • Receive, sort and forward incoming mail
  • Prepare conference rooms for client meetings; coordinate local conference room schedule
  • Assist in setting-up and cleaning-up after various company functions
  • Assist in stocking of office supplies and breakroom supplies and tidying areas.
  • Assist with various research projects including customer address validation and other internet searches
  • Assist with other projects as they arise

Requirements

  • High School Diploma and one (1) or more years of relevant work experience
  • Proficiency in MS Office and Internet Explorer
  • Ability to answer multi-line phones
  • Strong customer service orientation and solid interpersonal skills
  • Ability to treat all employees and clients with respect and dignity
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • High level organizational skills and attention to detail
  • Excellent verbal and written communication skills, including appropriate grammar and punctuation
  • Proactive in assisting others with a can-do approach and follow-through
